Wedding Planning Checklist for South African Couples

12+ months out

Vision & foundation

  • Define the guest count, formality and overall vision (traditional, modern, garden, luxe).
  • Set a realistic total budget in ZAR and agree who contributes what.
  • Draft a preliminary guest list — this drives venue size and catering costs.
  • Shortlist and visit venues in Gauteng (or your chosen region) and secure your date.
  • Book your wedding planner — earlier bookings unlock the best vendor availability.

9–11 months out

Core vendors

  • Confirm officiant, photographer, videographer and DJ or band.
  • Book caterer and start menu conversations, including traditional dishes if desired.
  • Choose your bridal party and share provisional dates for fittings and travel.
  • Start dress and suit shopping — allow time for alterations and imports.
  • Reserve accommodation blocks for out-of-town guests.

6–8 months out

Design & experience

  • Lock in your colour palette, florals and stationery direction.
  • Book décor, hire (linen, cutlery, glassware) and lighting suppliers.
  • Send save-the-dates, especially for destination or long-weekend weddings.
  • Plan your traditional ceremony (lobola, umembeso, white wedding) timeline.
  • Arrange hair, make-up and grooming trials.

3–5 months out

Logistics

  • Finalise the ceremony order of service and reception run sheet.
  • Confirm cake designer, transport and any entertainment (MC, saxophonist, dancers).
  • Order wedding rings and allow time for sizing or engraving.
  • Purchase or hire attire for parents, bridal party and flower girls.
  • Apply for a marriage licence and gather Home Affairs paperwork.

1–2 months out

Final details

  • Send formal invitations and start tracking RSVPs.
  • Do a final tasting and confirm dietary requirements with the caterer.
  • Meet the planner to walk through the venue floor plan and seating.
  • Confirm the timeline with every supplier in writing.
  • Break in your shoes and complete final dress and suit fittings.

The final 2 weeks

Countdown

  • Share the final head count, seating chart and vendor contact list with your planner.
  • Pack a bridal emergency kit (safety pins, stain remover, plasters, phone charger).
  • Prep gratuities and payments in labelled envelopes.
  • Confirm transport pickup times for the couple, family and bridal party.
  • Rehearse the ceremony and enjoy a relaxed dinner with loved ones.
